irstly, it is important to bear in mind that in any EPC (Engineering, Procurement and Construction) contract, the margin for error is\u00a0virtually zero.\u00a0Industrial facilities, processing plants or energy infrastructure designed, procured and constructed under this contractual model operate in environments where a poorly documented component, an outdated version of a drawing or an unrecorded design change can lead to\u00a0plant shutdowns, claims running into millions or, in the worst-case scenario,\u00a0serious accidents.<\/span>\u00a0<\/span><\/p>\n

In this context, traceability is not a bureaucratic requirement: it is the\u00a0backbone of project management.\u00a0Knowing at all times\u00a0what has been decided, who has approved it, what materials have been used and where they come from is what distinguishes a well-managed project from one exposed to risks that are difficult to manage.\u00a0In this article, we examine what it means to ensure full traceability in high-risk EPC projects, which elements are essential, and how digital tools and the\u00a0selection\u00a0of the right suppliers\u00a0determine\u00a0the\u00a0final outcome.<\/span>\u00a0<\/span><\/p>\n

\u00a0What is traceability in EPC projects?<\/span><\/b>\u00a0<\/span><\/h2>\n

In reality, the\u00a0concept of traceability is broad and is often reduced to its documentary aspect.\u00a0In high-risk EPC projects, however, its scope is much broader:\u00a0it encompasses people, materials,\u00a0decisions\u00a0and processes\u00a0throughout the entire project lifecycle.<\/span>\u00a0<\/span><\/p>\n

\u00a0Technical definition of traceability<\/span>\u00a0<\/span><\/h3>\n

In sectors such as engineering and construction, traceability is defined as the\u00a0ability to\u00a0identify\u00a0and reconstruct the complete history of an item\u2013 be it a document, a\u00a0component, a\u00a0decision\u00a0or a process \u2013\u00a0throughout all phases of the project.\u00a0This means that any party involved can access, at any time, the information trail detailing the\u00a0current status\u00a0of that item: who created it, who\u00a0modified\u00a0it, when and why.\u00a0<\/span>\u00a0<\/span><\/p>\n

\u00a0The difference between documentary traceability and operational traceability<\/span><\/b>\u00a0<\/span><\/h3>\n

On the one hand, document traceability refers to the\u00a0management of all information generated during the project: drawings, technical specifications, contracts, change orders, inspection\u00a0reports\u00a0and certificates.\u00a0Operational traceability, on the other hand, focuses on the\u00a0physical and functional tracking of the components that make up the installation: equipment, pipes, valves,\u00a0flanges\u00a0and structural components, from manufacture through to commissioning.<\/span>\u00a0<\/span><\/p>\n

The lack of traceability in high-risk projects can have\u00a0very serious\u00a0consequences.\u00a0The relevant standards (ASME, PED, ISO 9001, among others) require comprehensive documentation as a prerequisite for commissioning.\u00a0EPC contracts, due to their\u00a0fixed-price nature and the contractor\u2019s full liability, amplify the impact of any deviation that is not detected in time.\u00a0And the deadlines, which are usually tight, do not allow for the collection of information that should have been recorded from the outset.\u00a0<\/span>\u00a0<\/span><\/p>\n

\u00a0Key elements for ensuring full traceability<\/span><\/b>\u00a0<\/span><\/h2>\n

There is no single measure that guarantees full traceability in an EPC project.\u00a0In order to\u00a0achieve this, it is necessary to systematically implement\u00a0a number of\u00a0elements which, together, form a\u00a0robust control system.<\/span>\u00a0<\/span><\/p>\n

\u00a0Centralised document management system<\/span>\u00a0<\/span><\/h3>\n

The first pillar is to have a single, centralised repository where all project documentation is stored.\u00a0The scattering of information across emails, local folders or incompatible systems is one of the main causes of a loss of traceability.\u00a0A centralised system ensures that\u00a0all stakeholders\u00a0(engineering, procurement, construction, client) always\u00a0work\u00a0from the same source,\u00a0with\u00a0controlled access and a record of activity.<\/span>\u00a0<\/span><\/p>\n

\u00a0Version control and changes<\/span><\/b>\u00a0<\/span><\/h3>\n

In an EPC project, documents are constantly evolving.\u00a0A plan may go through dozens of revisions before reaching the final construction version.\u00a0Without rigorous version control, it is impossible to know which version was used at each stage, who approved each change, and what impact it has had on other related documents or components.\u00a0Change control is not merely an administrative procedure: it ensures that design decisions are correctly translated into the built reality.<\/span>\u00a0<\/span><\/p>\n

\u00a0Traceability in the supply chain for critical components<\/span><\/b>\u00a0<\/span><\/h2>\n

In addition to the traceability of the project, it is important to\u00a0take into account\u00a0the\u00a0traceability of its components.\u00a0In high-demand installations, the components that make up piping systems, valves and pressure vessels must be delivered to the site accompanied by documentation that allows their origin,\u00a0composition\u00a0and suitability for service to be\u00a0verified .\u00a0This is where the choice of supplier is crucial.<\/span>\u00a0<\/span><\/p>\n

\u00a0The importance of material certificates in EPC projects<\/span><\/b>\u00a0<\/span><\/h3>\n

We are referring to the document that certifies the chemical composition and mechanical properties\u00a0required\u00a0for the manufacture of a\u00a0component.\u00a0In EPC projects subject to standards such as\u00a0<\/span>ASME B16.5<\/span><\/b><\/a>, EN 1092\u00a0or\u00a0\u00a0ASTM, the availability of Type 3.1 or 3.2 certificates\u00a0in\u00a0accordance with\u00a0EN 10204\u00a0is not optional: it is a contractual and regulatory requirement that\u00a0determines\u00a0the acceptance of components on site and the approval of the installation.<\/span>\u00a0<\/span><\/p>\n

The heat number is the identifier that\u00a0links a cast\u00a0component\u00a0to the casting process from which it originates.\u00a0This reference makes it possible to trace, at any time, the exact composition of the material, the heat treatment applied and the tests carried out on that casting.\u00a0In process facilities, where metallurgical compatibility between components is critical to safety and the facility\u2019s service life, traceability by casting is not merely a technical detail: it is a\u00a0guarantee of integrity.<\/span>\u00a0<\/span><\/p>\n

\u00a0Inspections and tests: documentation\u00a0accompanying\u00a0the\u00a0component<\/span><\/b>\u00a0<\/span><\/h3>\n
